How RP365 handles information about owners, their staff and the people who live in their properties.
Last updated October 24, 2026
Who is responsible
Each organization (the owner's business) decides what it records about its residents and staff and is responsible for that information. RP365 processes it on the organization's behalf to run the service. For your own account (name, email, phone), RP365 is responsible.
What we keep
Account details; the properties, rooms and beds an organization sets up; residents' contact details, stays, invoices and payments; tickets, tasks, attendance punches with the location used to check the geofence; notices; WhatsApp messages sent through the service; and technical logs needed to keep it secure.
What we use it for
To provide the service: billing rent, sending reminders and receipts, routing repairs, and signing people in. We don't sell personal information and don't use it for advertising.
Who else sees it
Payment providers (such as Stripe or Razorpay) when someone pays online, Meta when messages go out on WhatsApp, and our hosting, email and SMS providers. Each only receives what it needs.
Payments
Card and bank details are entered on the payment provider's page. RP365 never sees or stores card numbers.
How long we keep it
While the organization's account is active. Invoices and receipts may need to be kept longer by the organization for tax and accounting. Deleted accounts are removed within 30 days, except where the law requires us to keep records.
Your choices
You can see and correct your details in the app, turn off WhatsApp messages, and ask for a copy or deletion of your data. Residents and staff should ask the organization first; we help them answer.
Security
Connections are encrypted, sign-in tokens stay out of browser scripts, and access inside an organization follows the permissions the owner sets.
